Every listing on Pickup rests on valid documents. When one expires, the listing stops being bookable until it is renewed.
The daily check
Pickup runs a daily check on the expiry dates of your documents. We remind you 30, 14 and 3 days before one runs out. If a licence or insurance policy on a listing expires, access is suspended automatically. The listing is paused, and it goes live again once the renewed document is uploaded and checked.
Documents that expire
| Vertical | Documents tracked |
|---|---|
| Cars | Hackney permit, vehicle licence, roadworthiness certificate, commercial insurance |
| Boats and yachts | LASWA licence or permit, NIWA registration, seaworthiness or inspection certificate, commercial marine insurance |
| Jets | Air Operator's Certificate, Certificate of Airworthiness, aircraft insurance, international operations approval |
Crew papers expire too: FRSC driver's licence, NIMASA certificate of competency, seafarer medical, NCAA pilot licence and medical, and cabin crew attestation.
Your own company documents also need to stay valid.
Uploading a renewal
- Open Listings and choose the listing.
- Tap Licence and documents.
- Tap Replace next to the document.
- Upload a clear copy of the renewed document and enter its Valid until date.
Renew early. Upload the new document as soon as you have it, not on the day the old one expires. Your listing stays live while we check a new upload, and checking is not always instant.
Bookings on a suspended listing
A paused listing cannot take new bookings. If a document expires, its upcoming bookings are cancelled. Guests are refunded in full, and the bookings count as your cancellations. You may not deliver a trip with an expired document. See Cancelling as an operator.
Chauffeurs and crew
A chauffeur or crew member with expired papers cannot be assigned to new trips. Renewals are uploaded in their own login, and Pickup checks them. We remind them 30 and 7 days before, and tell you too. If they already have a trip, change the crew. See Changing the assigned chauffeur or crew.
